Refund Policy
Cancellation & Refund Policy
We understand that plans can change. Because each event requires advance planning, menu preparation, staffing, and product purchasing, the following cancellation and refund policy applies to all Her Table Catering LLC bookings.
Booking Retainer
A nonrefundable retainer equal to 50% of the estimated total is required to reserve your requested date and time.
Your booking is not confirmed until the retainer has been received and written confirmation has been provided by Her Table Catering LLC.
The retainer is applied toward the total cost of your service.
Final Payment
The remaining balance is due no later than four calendar days before the scheduled service date.
Bookings that are not paid in full by the payment deadline may be canceled, and all previous payments may be forfeited.
Bookings made within four days of the service date must be paid in full at the time of booking.
Client Cancellations
Cancellations must be submitted in writing by email or text message.
If the client cancels:

More than 30 days before the event: Payments made above the nonrefundable retainer may be refunded.

Between 15 and 30 days before the event: The retainer remains nonrefundable. Any additional payments may be transferred once to another available date within six months.

Between 5 and 14 days before the event: All payments are nonrefundable. A partial credit may be offered at the discretion of Her Table Catering LLC, depending on food, staffing, and rental expenses already incurred.

Four days or fewer before the event: All payments are final and nonrefundable.
No refunds or credits will be issued for same-day cancellations, no-shows, reduced guest attendance, shortened events, or unused food.
Rescheduling
Clients may request one reschedule when notice is provided at least 15 days before the original service date.
The new date must:

Be selected within six months of the original event date.

Be based on chef and staff availability.

Be for the same or greater service value.
Any price increases, seasonal pricing, travel expenses, menu changes, staffing costs, or vendor fees associated with the new date will be added to the remaining balance.
Additional rescheduling requests may require a new retainer.
Guest Count Changes
The final guaranteed guest count is due no later than seven days before the event.
Guest count reductions after this deadline will not reduce the final balance. Guest count increases are subject to availability and additional charges.
Menu Changes
Final menu selections and dietary requirements must be submitted by the deadline listed in the client agreement.
Changes requested after food, supplies, rentals, or specialty ingredients have been ordered may result in additional fees.
Her Table Catering LLC cannot guarantee last-minute dietary substitutions or allergy accommodations that were not previously disclosed.
Weather and Outdoor Events
The client is responsible for providing a safe and suitable backup location for outdoor services.
Rain, high temperatures, cold weather, wind, or other expected seasonal conditions do not automatically qualify for a refund.
If severe weather or an emergency makes service unsafe or legally impossible, Her Table Catering LLC will work with the client to reschedule the service or provide an appropriate credit based on expenses already incurred.
Chef or Company Cancellation
If Her Table Catering LLC must cancel due to illness, emergency, unsafe working conditions, equipment failure, or circumstances beyond our reasonable control, the client may choose:

A new available service date;

A credit toward a future booking; or
-
A refund of payments received, less any nonrecoverable third-party costs that were previously approved by the client.
Her Table Catering LLC is not responsible for additional expenses incurred by the client, including lodging, transportation, venue fees, or replacement vendor costs.
Unsafe or Unsanitary Conditions
Her Table Catering LLC reserves the right to delay, modify, or discontinue service if the kitchen, property, equipment, utilities, working environment, guests, or event conditions are unsafe, unsanitary, abusive, threatening, or unsuitable for food preparation and service.
Refunds will not be issued when service cannot be completed because the client failed to provide the required kitchen access, utilities, equipment, workspace, parking, permissions, or safe working conditions.
Payment Disputes
Clients should contact Her Table Catering LLC directly regarding any billing concerns before filing a payment dispute or chargeback.
Fraudulent or improper chargebacks may result in collection efforts and the recovery of applicable administrative, legal, processing, and collection costs.
Acceptance of Policy
By submitting payment, signing an agreement, or confirming a booking, the client acknowledges that they have read, understood, and agreed to this Cancellation and Refund Policy.
Her Table Catering LLC reserves the right to update this policy. The version provided at the time of booking will apply to that reservation.
